Examinations and Data Manager

We are looking for an enthusiastic examinations manager for September 2017 start. You will be responsible for managing the complete examination process across Key stages 4 & 5, covering internal and external exams and adhering to national regulations and guidelines and an annual budget. The successful applicant should have excellent interpersonal and communication skills, be well organised, have a good understanding of relevant management information systems and the examination system for both GCSE and A level.

Terms and Conditions of Employment (key points):

  • 205 contact days. Attendance will be required on the day before and day of GCSE and AS/2 results in August
  • Core hours: 8.20 - 5.10 Monday to Thursday, 8.20 - 4.10 Friday


Key Responsibility

To be responsible for the administration and organisation of all aspects of external and internal examinations in accordance with the regulations laid down by the awarding bodies.

To be responsible for the management and development of the school assessment and reporting systems, and in doing so, produce data and analysis which will make a significant contribution to the self-evaluation framework for the school.

Specific Requirements of Post

Exams Officer

  • Liaising with all staff regarding examination entries
  • Disseminating information, answering enquiries and dealing with complaints regarding external examinations with staff, students and parents/carers
  • Submitting entries for external examinations to awarding bodies in advance of deadlines
  • Organising SEN provision, including liaison with the Special Needs Manager regarding candidates with SEN; applying to awarding bodies for special arrangements for such candidates
  • Managing the daily running of external examinations. This will include ensuring that all required materials are in the examination rooms for the start of the examinations and arrangements for candidates with SEN are in place
  • Organising exam materials, providing safe custody of and organising examination stationary and materials, including question papers, in accordance with regulations
  • Organising the examination rooms, in accordance with regulations
  • Providing a centre timetable to include dates, times, venues and number of candidates
  • Resolving examination clashes in accordance with regulations
  • Briefing candidates on examination regulations and producing written guidelines for staff and students; ensuring candidates are aware of their own examination timetables
  • Collecting and despatching worked scripts in accordance with the regulations
  • Arranging inivigilation including briefing and training invigilators in school procedures
  • Being present and available in school on the days when results are notified, and overseeing the distrubution of results to candidates
  • Producing analyses of examination results as soon as practicable
  • Providing statistics on examinatioin entries and results for the Headteacher, Senior Leadership Team, Governors, LA, DFE etc
  • Checking DFE and other examination statistics before publication
  • Overseeing the checking and distribution of certificates
  • Processing enquiries about results and requests for return of scripts
  • Ensuring that costs of retakes etc. are reimbursed by candidates/departments as appropriate
  • Encouraging a positive examination culture in the school to which all staff and students subscribe
  • Liaising with the National Assessment Agency and Examinations Officers Association as appropriate
  • Keeping up to date with the requirements of the role. Ensuring attendance at appropriate awarding body and other INSET training meetings etc. and keeping up to date with the latest procedures and regulations for external examinations
  • Making external examination arrangements for private candidates. Arranging external examinations for non-curriculum subjects, including community languages
  • Making arrangements for internal examinations, including the production of the timetable, rooming and invigilation
  • Be responsible for the management and supervision of invigilators
  • Be responsible for the management of the examination budget

Data Manager

  • Working with the designated senior manager to ensure the input, manipulation, management, analysis and disseminatoin of school assessment data
  • Responsibility for the coordination, administration, management and dissemination of accurate data needed by school leaders and managers relating to school-based assessments and for progress reports to parents. In doing so, assist the member of the Leadership Team responsible for Assessment, Recording and Reporting in managing data collection systems for teaching groups, providing reports to staff as required and analysing as appropriate
  • Assisting senior staff and team leaders in the use of external tools such as Raise Online and ALPs for review and preview of performance of the whole school and individual students
  • Ensuring that relevant data is produced and analysied in line with the self-evaluation cycle
  • Provide data and analysis to support setting whole school targets
  • Preparing the school assessment and reporting calender in conjunction with senior staff
  • Working closely with the IT Manager to anticipate future system and data needs, in the context of the school's Development Plan
  • Ensuring the data structures are adequate to the task, including integrity, consistency and coherence of data; keeping data relevant and current
  • Contribute to the development of data management across the school by monitoring and improving processes and procedures
  • Being aware of and complying with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person

Any other duties as directed by the Principal commensurate with the general level of responsibility of the post.
